What does ERP mean?
ERP stands for Enterprise Resource Planning and is an integrated information system that serves all departments within an enterprise. ERP is the use of packaged software rather than proprietary software written by or for one customer.
ERP systems typically include application modules to support common business activities, such as finance, accounting and human resources. ERP systems designed for higher education institutions typically also feature modules to support admissions, records and registration, financial aid and student accounts activities.
What is the goal of the ERP project at the Institutes?
The ERP project is transforming administrative systems of the Institutes into a flexible single system. The first implementation phase of the project addresses student systems. Ultimately, those operations dealing with human resources/payroll information and financial data also will be impacted.
The ERP project will also standardize and centralize data storage at the Institutes, thus increasing the efficiency and effectiveness of business practices in a way that makes interaction with the University easier for applicants, students, faculty, and staff.
Why do we need to do this now?
To work in the automated environment and run the institute’s work in stream-line work flow we need the ERP as soon as earliest. Many of the current core administrative systems at the institutes are old and do not provide the necessary functionality required by a complex and changing regulatory environment. Additionally, since we rely on regular software updates to ensure regulatory compliance in key areas such as financial aid, the institutes needs to move forward immediately to replace the student systems.
Will we replace ALL our current software?
The Institute is using a single software system for its ERP implementation. However, this does not mean that all other subsystems will immediately disappear. The Institutes community relies on dozens of different systems to conduct its business, and there are several newer subsystems that are serving the campus very well. We are evaluating our current processes and subsystems to determine how each fits into the bigger picture. A project objective is to provide a well-integrated, responsive system that can meet a far greater percentage of the campus needs than our current systems do.
How long will this take?
The proposed timeline for eIMS basically depends on the phase wise implementations period although the timeline may evolve to best meet the changing needs of the Institutes working process.
Who’s managing the ERP implementation?
A team of functional as well as technical experts is leading the process within each phase of the implementation. The ERP team is comprised of resident experts from within the company as well as consultants with a wide range of skills and expertise.
When does the ERP project affect students, faculty and staff?
The ERP project is being rolled out in a phased approach. In addition it will start with student enquiry following with the admission and so on till the student as alumni. In this process everybody will get the benefit of automated system in their work process.
Will training be provided?
Yes. The ERP project team is committed to providing exceptional and accessible support, training and documentation to all who are impacted by the implementation. A team of specialists in this area will be developing resources throughout the process.
